The Contract
Thank you for choosing Aiming Adventure Treks and Expedition Pvt. Ltd. Aiming Adventure Treks and Expedition (hereinafter referred to as “the Company”) is a Kathmandu-based adventure company in Nepal. The company is fully licensed and registered under the various departments of the Government of Nepal. The Company is pleased to make its Services available to you. Please be informed that by using the services provided by the Company, you are entering into a binding contract with our company. Your agreement with us includes the Terms and Conditions related to the Booking Confirmation, Payment, Refund, Cancellation and other charges levied as per policy and the Company’s privacy policy. Therefore, we request you to very carefully read and understand all the Terms and Conditions mentioned below, before taking further action.
Terms and Conditions are as follows
Booking:
All bookings are made with Aiming Adventure Treks and Expedition Pvt. Ltd. The company is registered under various departments of the Government of Nepal. The company is located in Kesharmahal Street, Thamel, Kathmandu.
The term “Trip” used in this website and booking conditions refer to all itineraries described on this website, including the itineraries of walking, tours, treks, trips, sightseeing, climbing, mountaineering, expedition or holidays.
20% of the total trip cost (50% in the case of Tibet and Bhutan trips) per person, along with a completely filled Booking Application form is required to confirm the booking. This amount is known as the booking deposit and is non-refundable. The balance due amount (80% of Nepal trips and 50%of Tibet and Bhutan trips) is payable on arrival in Kathmandu, before departing for the trip destination. The final trip documentation will only be released after the payment of the remaining amount.
Payment Approach:
To make the booking deposit, the company offers two options - Bank Transfer and Credit Cards (Master/Visa). The customer should mention the preferred payment option while proceeding the booking form. Credit Card details should also be mentioned in the booking form if Credit Card is the preferred payment option of the customer. The remaining amount should be paid in cash, upon arrival in Kathmandu, before departing for the trip destination.

All payments made via Credit Card is subject to 4% surcharge. Surcharges apply to all payments: deposits, final balances, trip extension and miscellaneous purchases. The charge is imposed by the credit card payment service provider (Himalayan Bank Limited) and is used, in part, to provide consumer protection for the services purchased, in accordance with the terms and conditions pertaining to the credit card being used.
The Cancellation Policy:
If the customer voluntarily leaves the trip for any reason, after the trip has begun, the company will not refund the amount already paid to the Company by the customer. Refunds will be at the discretion of the Company if you are forced to leave a trip for any reason. The Company will not make any refunds for accommodation, transportation, sightseeing, meals or services not utilized by the customer. Please note that these conditions are subject to change. The company reserves all rights to cancel any trip booked by the customer before it is guaranteed to run.
The company reserves all right to cancel any trip, including the guaranteed trip, prior to the departure, in case of any unfavorable circumstances: unforeseen natural disaster, canceled flights, strike, industrial action, wars, riots, quarantine, government intervention, weather and health condition of the group member to mention a few. In such a situation, the booking deposit (20% of the total amount), remains non-refundable but reusable for the immediately following season of the same year or the alternative trip of the same value (as per your choice). However, the remaining trip cost that is 80% of the total trip cost, if already paid will be refunded, after deducting 13% Government Tax.
Written notification of your cancellation is required to cancel your trip. The date of trip cancellation is the date on which the written cancellation is received by the Company. In case of cancellation of the trip, any amount already charged by the company is non-refundable. However, the same amount is reusable within one year from the booking date. If the cancellation notice is received a month before the trip departure date, 100% of the total charged amount is reusable. 100%, 80% and 50% of the total charged amount are reusable if the cancellation notice is received 1 month, 15 days or 7 days respectively, before the trip departure date.
Trip Amendment:
All amendments and cancellation fees apply only to the trips listed on this site. Any changes in the booking are subject to the following amendment fees:
If the booking amendment request is received by the Company 60 days or more, prior to your original trip departure, USD 50/person is required as the trip amendment charge; however, if the booking amendment request is received less than 60 days prior to your original trip departure, the charges will be as per the cancellation policy. In case of any changes in the price of the trip, within the time of the original booking and the amendment date, the new trip price will be applicable for the reservation. These fees are in addition to any charges levied by the hotels or any other service providers.
Changes to any other arrangements made in conjunction with your trip booking (e.g; hotels, transfers, etc.) or amendments to any other arrangement made in conjunction with your trip reservation will incur an administration fee of USD20/booking per change. This fee is in addition to any charges levied by hotels, ground operators or airlines.
It may not be possible to make any amendments to your booking within 10 days of departure. Fees for late changes will vary from the minimum of USD 50 and up per booking if the changes can be made.
Travel Insurance:
If you are joining any Aiming Adventure Treks and Expedition’s holiday, then make sure to get insured against medical and personal accident risks. This insurance must include medical coverage, air ambulance, and helicopter rescue services. We also strongly recommend that you take out cancellation insurance. You should be aware that some policies do not include, or restrict a cover for this type of travel. Make sure that the policy provides an adequate level of protection and covers you for the activities involved. You must carry a proof of insurance (your insurance certificate) with you while on a holiday, however, if you are unable to provide this at the beginning of the holiday, you will be required to take out a suitable policy at that time. If this is not done or impossible for practical reasons, then you will not be allowed to continue with your trip and will not be entitled to any refund for the services not provided.
Visa and Passport Requirement:
While traveling with us you have to have the valid passport and have obtained the appropriate visas. You will have the at least 6-month validity in your passport. You will have on arrival Nepal visa in Nepal. For Tibet & Bhutan, we will have to make some necessary arrangements upon request. For India, you can obtain the visa from your own homeland.
It is your responsibility to ensure that you are in possession of the correct visas for the countries you are traveling to. We cannot accept responsibility if you are refused entry to a country or places because you lack the correct visa documentation.
Special Health Requirement and Medical Conditions:
All members of the group are required to be in a good health and physical condition. It is important that the members with pre-existing medical problems or conditions make these known to the Company, at the time of booking. Medical and evacuation expenses are the responsibility of the participants. All members of the group are required to consult their doctor for vaccination and other medical requirements for the trip, before their departure. The company reserves the right to require a medical certificate prior to booking the trip or departure.
Facilities and Flexibility:
While booking any of the Aiming Adventure Treks and Expedition’s trip, you understand that the accommodations, transportations, safety, hygiene, communication facilities, level of infrastructure development and medical facilities are not the same as in your hometown, or on conventional holidays. This type of holiday inherently involves a high level of personal risk, which you agree to fully assume.
You understand that during the course of the trip, certain events may occur; accidents or illness in remote areas without medical facilities, political instability and disasters are likely to occur. You agree to assume all risks associated with the journey to the maximum extent permitted by Nepalese law.
You acknowledge that the trips require a degree of flexibility and understand that the trip route, accommodation, and modes of transport are subject to change without prior notice in case of any unavoidable local circumstances.
If required, to amend the itinerary for any reason, the Company may do. so, by shortening, varying or re-routing any trip. Customers will have to bear all the additional expenses caused by the alteration in the trip if the alteration is outside the Company’s control.
While traveling with Aiming Adventure Treks and Expedition you agree to accept the authority of the trip leader or local operator at all times. You are aware that travel within a group may involve compromise to accommodate the diverse desires and physical abilities of group members. You understand that the Company reserves all right to decline, accept or retain any person as a member of the group at any time if required.
You acknowledge that the Company contracts with a network of companies, government agencies, and individuals, to assist in the running of its tours, treks, walking, holidays & expeditions. To the best of the Company’s knowledge, these third parties are qualified to perform the duties they are contracted to perform. However, the Company will not be held responsible for any injury, damage, loss, delay or irregularity caused by these third parties.
The Company will not take the responsibility for any traveler, who contravenes any law or regulation of any country visited.
This agreement is governed by the laws of the Government of Nepal, therefore, no employee, representative or agent of the Company has the authority to vary these conditions, except the head of the company or the director.
Most of the Trip prices exclude the following:
- Personal travel insurance, both emergency medical and evacuation
- Visa, passport, and vaccination charges
- International flight to/from Nepal and to our destinations of operation and departure airport taxes to the respective countries.
- Extra meals, transport cost, accommodations, costs and other expenses not included in the itinerary
- Laundry, postage, personal clothing (unless provided in the itinerary), medical expenses and items of personal nature
- Emergency evacuation and/or searches and
- Not mentioned in the itinerary
- Tips and excess baggage charge
Are children allow?
Without any legal guardian and their perfect supervision, the children below 14 are highly prohibited for the trip.
Responsible policy:
Aiming Adventure is very much conscious on responsible tourism as we are investing our efforts for the benefit of local people, tourists, environment and the tourism industry at large. We expect that you will follow all our rules and regulation based on the responsible tourism policy. Otherwise, we will be compelled you to expel from our trip program.
Weather and other unfavorable conditions:
Weather in the mountainous regions is very unpredictable. Unfavorable weather condition can cause domestic flight delays, particularly in the Everest, Jomsom, and Kanchenjunga regions in Nepal. In the case of delayed domestic flights, the Company will meet departing city accommodation and food costs prior to your trip, and accommodations and food costs on a normal trip basis for delayed return flights. The Company reserves all right to reroute treks or use road transportation for extended delays without any impact on the trip cost. The Company does not accept any responsibility for costs incurred as a result of missed international flight connection but will assist to make alternative arrangements where possible with extra cost.
In the event of civil unrest, within a region or country, we undertake to inform our clients of the situation as soon as we have the knowledge of it. Having made every effort to ensure the correctness of this site, information & brochure we provide, we cannot be held responsible for any inaccuracies. These booking conditions may only be waived in special circumstances, and in writing, by a letter from the Director of the Company. The terms and conditions of all agreements made with the Company shall be subject to, and governed by, the Nepalese Law.
If any circumstances occurred during trek by Altitude Mountain Sickness Company shall not take responsibility damage caused by AMS as this is unpredictable.
When making your booking you have read and agreed to the booking terms & conditions and abides by them and you understand what is involved in participating with Aiming Adventure Treks and Expedition in your chosen trip.
